TERMS AND CONDITIONS - PRADHAN BANQUET GROUP

1. TIMINGS & BOOKING SLABS

For Marriage / Reception:

22 Hours - Usage time: 8:00 AM to 6:00 AM next day.

For Other Events (Birthday, Annaprashan, Upanayan, Anniversary, Engagement, Sangeet, Corporate, Sradhyanusthan etc.):

- 6 Hours Slab: 6:00 AM to 12:00 PM / 10:00 AM to 4:00 PM / 6:00 PM to 12:00 AM

- 12 Hours Slab: 6:00 AM to 6:00 PM / 12:00 PM to 12:00 AM / 6:00 PM to 6:00 AM

- 22 Hours Slab: 8:00 AM to 6:00 AM next day

2. BOOKING & PAYMENT

a) Hall booking is on first-come, first-serve basis.

b) Booking will be confirmed on payment of 50% of total rent + applicable Govt. taxes. Payment to be made in favour of "Pradhan Banquet Group / Sarabala Event Enterprises / Sabcheysasta Dot Com / Pradhanda / Nikunja / Sarabala / Sarabala Catering Destination".

c) Balance 50% must be paid 30 days before the event date.

d) In case of time extension, extra charges @ Rs. 15,000/- per hour will be levied, subject to availability. If extended to next day, next day's charge will apply.

e) PLEASE READ ALL TERMS CAREFULLY BEFORE BOOKING.

3. REVISION OF BOOKING DATE

No revision fee will be charged for change of date, subject to availability, but difference of rate as per prevailing rate on the new date will be applicable.

4. CANCELLATION & POSTPONEMENT POLICY

a) You can cancel within 48 hours of booking. In such case, 20% cancellation charge will be deducted and balance refunded within 48 working hours (excluding Saturday & Sunday).

b) After 48 hours, NO CANCELLATION is allowed.

c) Postponement: Instead of cancellation, you can postpone your event to any date within 3 years from original booking date, subject to availability.

d) For postponement, you must clear the full payment as per current prevailing rate for the new date.

e) If booking was for Non-Wedding and new date is a Wedding date (as per Panjika), Wedding charges will apply. If booking was for Wedding and new date is Non-Wedding, normal rate will apply but at current rate.

f) In case of natural calamity / force majeure, no refund will be given, but postponement facility within 3 years will be allowed.

g) Company reserves right to cancel booking due to unavoidable circumstances — in such case 100% advance will be refunded.

5. USAGE RULES & LIABILITY

a) User must inspect the hall with Company representative before taking possession and handover the same in same condition after event. Any damage to furniture, fixtures, articles will be charged as decided by the Company.

b) Kitchen area only: Only commercial gas cylinders allowed for cooking. Coal, wood, electric heaters strictly prohibited.

c) Lift is ONLY for guests. No goods, vendor materials allowed in lift.

d) Alcohol / Intoxicating items, Smoking, Public Nuisance strictly prohibited.

e) If user wishes to serve alcohol, they must obtain all necessary Govt. licenses/permissions at their own cost and submit originals to Company 24 hours before event.

f) Spitting of Paan / Gutkha strictly prohibited. Penalty Rs. 10,000/-.

g) Loudspeaker, Orchestra, Live performance must be as per Govt. of West Bengal Sound Pollution Rules. Copyright music permission must be obtained by user and submitted 24 hours before.

h) Firecrackers / Fireworks strictly prohibited inside premises and surroundings. If used, event will be stopped immediately and reported to authorities.

i) Vendor Policy: Only empanelled Florist / Decorator / Electrician / Sound / DJ / Cold Fire / Smoke / Dry Ice / Sanai / Saxophone / Bajna Party / Live Singer etc. are allowed. Outside vendors NOT allowed. Water & Mocktail vendors outside not allowed at VCCCH Gate 1 & 2.

j) Sound of Band, DJ, Barat etc. outside building strictly prohibited to avoid disturbance to neighbours.

k) Decoration includes latest upgraded artificial flowers only. Any customization will be charged extra.

l) User is responsible for removal/disposal of all garbage/waste generated by their vendors in proper bins.

m) Vendor staff and materials must be removed before 12:00 AM midnight on event day. No vendor to stay after midnight. If the booking is for lunch, all vendors must leave the premises by 4:00 p.m. If the booking is for dinner, an additional one hour will be allowed after 12:00 midnight, within which all vendors must leave the premises.

n) Company is not responsible for any theft / loss / burglary / untoward incident.

o) No nails, glue, tape or sticking material on walls. Decoration only on self-standing units or pre-provided hooks.

p) Electricity inclusive. AC for 6 hours only. Extra AC @ Rs. 3,000/- per hour. In case of power failure, only Lights, Fan, Lift will work on DG — AC will not work.

q) If the booking is for a daytime event, the hall's AC will remain operational from 10:00 a.m. to 4:00 p.m., for a total of 6 hours. If the booking is for a night time event, the hall's AC will remain operational from 6:00 p.m. to 12:00 midnight, for a total of 6 hours. Additionally, the room's AC will remain operational for the entire duration of the booking.

6. INDEMNITY

User shall indemnify Company against any penalty, legal cost, damage arising due to violation of music license, sound, liquor, safety rules by user or his vendors.

7. FORCE MAJEURE

Company has no liability for any inconvenience, loss, injury due to reasons beyond control like rain, storm, flood, riot, violence, theft, war, natural calamity, act of God.

Note: (Decorations included in the package will have a fixed design. Any other kind of decorations will levy extra charges according to the extra products and materials used.
